Doing the work is only half the job. You still have to explain the charge, send the invoice, notice when it’s late, follow up, collect payment, and keep records for taxes. When that whole process lives in a document, your inbox, and your own memory, money gets delayed or forgotten — easily.
The best invoicing software isn’t the one with the longest feature list — it’s the one that fixes the actual reason your payments run slow. A freelancer billing five clients has a different problem than a contractor collecting deposits, which is different again from a business prepping full books for an accountant.
The short answer
- Choose FreshBooks if you sell services and want price quotes, upfront payments, recorded work hours, regular monthly bills, and late-payment reminders in one place.
- Choose Wave if you want basic invoices and simple money records with no monthly software bill. Wave charges a fee when a customer pays online.
- Choose Zoho Invoice if sending and following up on invoices is the main job and you want a strong free system.
- Choose QuickBooks Online if keeping complete financial records and working with an accountant matter more than having the simplest invoicing system.
Four sensible choices—not one fake winner
| Product | Best fit | Starting software price | Main caution |
|---|---|---|---|
| FreshBooks | Freelancers and service businesses billing for projects or time | Regular price currently starts at $23/month; promotions are common | Plans limit the number of clients you can bill |
| Wave | Very small businesses wanting invoices plus simple money records | $0 Starter; $19/month Pro | Automatic reminders and some design choices require Pro or online payments |
| Zoho Invoice | A robust invoicing system without a subscription | Free | It is not a complete replacement for full accounting software |
| QuickBooks Online | Businesses choosing a complete money-record system that also sends invoices | Regular Simple Start price currently $38/month | Costs more and does more than invoice-only users need |
FreshBooks: best overall for a small service business
Freelancers · consultants · contractors · client projects
FreshBooks is the clear first choice when you sell time, knowledge, or projects. Send a quote before you start, ask for a deposit upfront, log your hours and costs, turn all of it into a bill, take payment online, and let automatic reminders chase down anything that goes late.
That whole connected path matters more than a prettier-looking invoice. It closes the small gaps where money actually gets lost: an hour you forgot to bill, an expense you never passed through, a job that started with no deposit, a late invoice nobody chased.
FreshBooks takes card payments, bank transfers, Apple Pay, and Google Pay. Depending on your plan, it can also bill on a set schedule, add a late fee you’ve agreed to, build out detailed proposals, handle retainers, track business costs, run reports, and give your accountant access. Here’s the pricing catch that matters: Lite tops out at five customers, Plus goes up to 50, and Premium has no limit. Compare the regular price, not just whatever discount is flashing when you land on the page.

Wave: best free starting point for invoices plus simple money records
Simple service businesses · side businesses · a small number of monthly bills
Wave’s Starter plan is free and covers unlimited quotes, invoices, bills, and money records. Turn on online payments and customers can pay right from the invoice — Wave takes a small cut of each payment instead of charging you a monthly fee for it.
The paid Pro plan runs $19 a month (or $190 a year). It pulls in your bank activity automatically, sorts payments and costs for you, saves your receipts, sends late-payment reminders, puts your logo and colors on invoices, and sometimes lowers your card-payment fees.

Zoho Invoice: best free system with more useful features
Price quotes · bills sent on schedule · work hours and costs · private customer page
Zoho Invoice is unusual: it’s free, but does a lot more than a basic invoice template. It builds quotes, turns accepted quotes straight into invoices, schedules recurring bills, sends payment reminders, tracks billable time and expenses, and gives customers their own portal to view and pay.
The tradeoff is what it skips. It’s great at managing what customers owe you, but it’s not a full system for every dollar moving through your business. It also caps how many invoices, projects, and users some accounts get — check the current limits for your country before moving a bigger business onto it.

QuickBooks Online: best when you need complete financial records
Business reports · organized costs · records shared with an accountant
QuickBooks isn’t our first pick if all you want is to send an invoice. It earns its place once the invoice needs to be part of your business’s full money picture — income, costs, bank activity, taxes, unpaid bills, and reports that actually tell you if you made or lost money.
Simple Start’s regular price is $38 a month before any discount. It covers invoices, card and bank-transfer payments through QuickBooks Payments, help sorting your costs, and basic reports. Pricier plans add more users, deeper reports, project tracking, and inventory tools.

Software cannot fix a vague payment process
Whichever tool you choose, set four rules before sending the next invoice:
- Agree on price and payment terms before work starts. Get the total, any deposit due upfront, the due date, and what happens if payment’s late — all in writing.
- Send the invoice right away. Wait until Friday or month-end, and you’re telling the customer it’s fine if they wait too.
- Make it easy to pay. Offer an online option whenever the card or bank fee costs less than what a late payment costs you in time and hassle.
- Set up reminders. One before the due date, polite ones after. Automating this keeps it consistent and takes the awkwardness out of asking for your own money.
The goal isn’t to get better at chasing money. It’s to build a routine where you barely have to chase at all.
How we evaluated these products
We went through each product’s current official pages for features, pricing, and help docs, and organized the picks around four real needs: billing for service work, invoicing without a monthly fee, getting more out of a free plan, and keeping full financial records.
We looked at quotes, upfront payments, scheduled billing, automatic reminders, online payments, time and cost tracking, useful reports, regular pricing, and any limits that could catch a growing business off guard. We didn’t rank anything by what we might earn — none of these links earned us money when this guide went live.
Frequently asked questions
What is the best free invoicing software?
Wave’s the clearer free starting point if you also want simple bookkeeping alongside your invoices. Zoho Invoice is the stronger free pick when your main need is quotes, scheduled billing, reminders, time and cost tracking, and a portal where customers can see and pay their own bills. Check each company’s current limits and what they charge for online payments.
Should I add the online-payment fee to the customer’s bill?
Depends on your payment method and location. Before you tack on an extra charge, check the payment company’s rules and whatever laws apply to your business. A lot of owners just build normal card-processing costs into their prices, since faster, easier payment is usually worth the fee.
Do I need invoicing software and accounting software?
Not always. FreshBooks, Wave, and QuickBooks all include invoicing plus at least some accounting. Zoho Invoice sticks to invoicing and related records. Ask your accountant what they need from you and whether your system exports it cleanly.
Will automatic reminders annoy customers?
Not if your payment terms were clear and the message is polite. A reminder right before the due date usually helps more than it annoys. The best systems just tell the customer what’s due, when, and exactly how to pay — no guilt trip required.
